This Acceptable Use Policy ("AUP") outlines the acceptable use of ClarionAi's conversation intelligence platform. By using our services, you agree to comply with this policy.
2. Consent Requirements
You must ensure proper consent before recording any conversation: obtain consent from all parties being recorded as required by applicable laws; clearly inform participants that the conversation is being recorded and transcribed; comply with all federal, state, and local recording consent laws; and maintain records of consent where required by law or regulation.
3. Prohibited Uses
You may not use ClarionAi to: record conversations without proper consent; violate any applicable laws, regulations, or third-party rights; engage in surveillance or monitoring without proper authorization; process content that is illegal, harmful, or violates others' privacy; attempt to circumvent security measures or access controls; reverse engineer, decompile, or attempt to extract source code; resell or redistribute our services without authorization; or use the service to develop competing products.

When processing conversations, you must: ensure you have the right to process the data you upload; comply with all applicable data protection regulations; implement appropriate access controls for sensitive data; and report any suspected data breaches promptly.
5. Healthcare & HIPAA
If you are processing Protected Health Information (PHI): you must have a signed Business Associate Agreement (BAA) with ClarionAi; implement the minimum necessary standard for PHI access; ensure all users with PHI access have completed HIPAA training; maintain audit logs and access records as required; and report any suspected HIPAA violations immediately.
6. Security Responsibilities
You are responsible for: maintaining the security of your account credentials; implementing appropriate access controls for your team; promptly reporting any security incidents or vulnerabilities; and ensuring your use complies with your organization's security policies.
7. Enforcement
Violations of this AUP may result in suspension or termination of your account. We reserve the right to investigate suspected violations and cooperate with law enforcement when required.

ClarionAi is designed to meet the stringent requirements of the Health Insurance Portability and Accountability Act (HIPAA), ensuring your patient data is protected at every step. We provide the technical safeguards, administrative controls, and physical security measures required for HIPAA compliance.
2. Business Associate Agreement
ClarionAi enters into Business Associate Agreements (BAA) with all covered entities. Our BAA outlines our responsibilities for protecting PHI and complying with HIPAA requirements. We maintain BAAs with all of our subcontractors and service providers who may have access to PHI, ensuring end-to-end compliance throughout our service chain.
3. PHI Protection
All Protected Health Information is encrypted using AES-256 at rest and TLS 1.3 in transit. We implement role-based access with minimum necessary standards, ensuring only authorized personnel can access PHI. Comprehensive logging of all PHI access, modifications, and disclosures enables compliance reporting.
4. Technical Safeguards
Our platform implements all required HIPAA technical safeguards including: unique user identification, emergency access procedures, automatic logoff, encryption and decryption, activity logging, audit trail retention, tamper-proof logging, data validation, and TLS 1.3 encryption for transmission security.
5. Administrative Safeguards
We conduct regular risk assessments, implement risk management policies, and maintain a comprehensive security program. All employees with access to PHI receive HIPAA training upon hiring and annually thereafter. We maintain data backup plans, disaster recovery procedures, and emergency mode operation plans.
6. Breach Notification
We have established procedures for breach detection, assessment, and notification as required by HIPAA. In the event of a breach involving PHI, we will notify affected covered entities in accordance with HIPAA breach notification requirements.
